Charter trip intake and float plan packet

One page you fill in while the party is still on the phone, so the trip, the money, the weather rule and the float plan are all settled before you hang up.

Most charter disputes trace back to something that was never written down. The party thought the deposit rolled over, the captain thought it did not. Somebody assumed the kids counted against the six, or the meeting time was remembered as seven when it was six thirty. None of it is bad faith and all of it is avoidable with one sheet filled out at the moment of booking.

This packet is that sheet. It follows the booking from the first question through to the float plan left with your shoreside contact, in the order the conversation naturally runs. Print it and keep a stack in the truck, or work through it on screen while the client talks. Either way, nothing important has to be remembered later.

How to use it

Use the packet the first time on a booking you would normally handle from memory. Work down the sheet while the party is on the phone and note where you would usually have skipped ahead. Those gaps are where your disputes come from, and there are typically two or three of them.

Once the sheet feels natural, keep the parts that matter and cut what does not apply to your port. A captain running inshore flats trips and a boat running sixty miles out for tuna need different levels of detail on the float plan half, and only you know which lines earn their space on your version.

Send me the editable copy

Send it to your inbox as an editable copy you can put your boat name and your own weather terms on before the season starts.

No newsletter rides along with the intake and float plan packet, and nothing else is queued behind it. If you would rather skip the form, write to jimenezjulien42@gmail.com and a captain sends the packet back the same way, with an answer about your own captain call terms if you ask for one.

Questions about this document

Is this a legal contract?

No. It is a working intake and float plan document, not legal advice or a contract drafted for your state. Have an attorney review your cancellation and refund language before you rely on it, especially if you carry passengers under an inspected certificate.

Do I need a float plan if I am only running inshore?

It is still worth doing. Inshore trips get caught out by fog, lightning and mechanical trouble in water where cell service is spotty. The packet takes a few minutes on an inshore trip and it means somebody ashore knows where you meant to be.

Can I use this alongside TransomBooking?

Yes. The packet mirrors the fields TransomBooking captures at booking, so captains often use the printed version in the truck and let the software produce the confirmation and the float plan for everything else. Using the paper version first is a good way to see what you want the software to handle.

Fill it in once, then let the booking do it

Working down this packet with a fishing party still on the phone is the right habit, and it stays right whether you buy anything or not. If you would rather the trip details, the deposit terms and the float plan come straight off the booking record, a short demo shows the same lines filling in the moment the date is held on the hull.
